As AI continues to revolutionize the way we work, one common frustration keeps popping up: AI chatbots that suddenly "run out of gas" when tasked with repetitive or large-scale tasks. Let me share a real story from a recent client. He had a spreadsheet with over 2,200 retail accounts to import into Shopify. The problem? More than 1,200 rows were missing phone numbers. Naturally, he tried using a popular AI chatbot to look up the missing data. It worked — but only for about 7-10 stores per prompt before the AI “ran out of steam.”

He tried everything, including instructing the chatbot to “keep pushing autonomously at higher volume using all available resources.” But the chatbot simply couldn’t continue beyond its limited scope. Faced with the prospect of weeks of tedious copy-paste work, he reached out to me for a solution.

We used a different category of AI tool — an agentic platform — that completed the entire job in about 20 minutes.

Understanding the Two Categories of AI Tools

Here’s the crucial concept that many don’t explain clearly: There are fundamentally two different types of AI tools, and most people are using the wrong one for their specific task.

1. Chat Platforms

Chat platforms like ChatGPT, Claude, and Grok function like brilliant assistants sitting across the desk from you. They answer questions, brainstorm ideas, or write content — all within a single conversation window. However, these platforms have inherent limitations:

  • Limited working memory: They can only handle a certain amount of information at a time.
  • No parallel processing: They respond to one prompt at a time and stop once the response is complete.
  • No autonomous continuation: They don’t run tasks in the background or keep pushing forward without human input.
  • No file management: They aren’t designed to manage or manipulate large datasets autonomously.

That’s why your chatbot “runs out of gas” after a few items — it’s not built for bulk, repetitive processing.

2. Agentic Platforms

Agentic AI platforms operate more like a full team working in parallel on your project. They can launch hundreds of autonomous agents simultaneously, each capable of independent web browsing, data validation, and task execution. Here’s what we did for my client using an agentic platform:

  • Analyzed both spreadsheet files and deduplicated over 1,200 rows down to 872 unique stores.
  • Launched 872 research agents simultaneously, each browsing the web to verify phone numbers against actual store addresses.
  • Validated and formatted every phone number to meet Shopify import standards.
  • Merged all results back into the spreadsheet while maintaining the integrity of the Shopify template.
  • Ran a cell-by-cell quality check to ensure data accuracy.

The result? 99.7% of the file was complete, with source citations for every phone number. The only rows left blank were businesses that had closed or dissolved, and the system flagged those precisely.

This level of automation turned weeks of manual work into minutes — a game changer for any business handling large datasets.

When to Switch from Chat to Agentic AI

If you find yourself repeatedly feeding an AI the same prompt in batches, that’s a clear signal you’re using the wrong tool. Chatbots excel at one-off questions, writing help, and brainstorming sessions. But when it comes to repetitive, large-scale data processing or research, agentic platforms are the tools designed to do the heavy lifting.

Practical Tips for Choosing the Right AI Tool

  • Assess your task complexity: Is it a one-time query or a bulk repetitive process?
  • Consider data volume: Large datasets and multi-step processes benefit from agentic AI.
  • Look for autonomous capabilities: If you want the AI to keep running without constant input, agentic platforms are essential.
  • Check integration and output quality: Agentic platforms often provide better data validation and formatting options.
  • Trial run: Try a small batch with both tools to see which completes your task faster and more accurately.
